Privacy Policy Effective date: 24 June 2026 This notice explains how ADOPT.GE handles personal data when you use the website, apply to become a rescuer or foster, list animals, contact us, use the public chat, or donate through linked services. Controller The data controller is the controller named above. Until the site owner replaces this text in the admin panel, the controller is the ADOPT.GE team. You can contact the controller through the Contact Us form in the website footer. Legal basis ADOPT.GE is operated for animal adoption and foster coordination in Georgia. We process personal data under the Constitution of Georgia, including the right to personal and family privacy, and the Law of Georgia on Personal Data Protection. Depending on the context, we rely on your consent, review of an application or service request submitted by you, account operation, and important legitimate interests such as platform security, abuse prevention, moderation, and protection of other users. What we collect Rescuer applications may include your full name, phone number, email address, social profile link, rescuer status, animal types, where animals are kept, adoption activity, veterinary and sterilization practices, owner-selection criteria, motivation letter, rule confirmations, data-consent confirmation, IP address, and timestamps. Foster applications may include your full name, email address, phone number, city or district, exact address, social profile link, housing details, rent or ownership status, fenced-yard information, pets and children in the home, animals you can foster, accepted sizes or genders, special cases, foster duration, car availability, paid-service status, experience level, rule confirmations, data-consent confirmation, and timestamps. Accounts and authentication may include email address, display name, phone number if provided, Firebase user ID, role, password-reset or setup token metadata, login/session information, and multi-factor authentication metadata for privileged users. Pet listings may include animal details, photos, public location/address, coordinates, story, medical and compatibility details, rescuer contact name, rescuer phone number, social links, uploader email, and listing status. Contact forms may include your name, email address, subject, message, user agent, IP-based rate-limit information, and anti-spam verification data. The public chat may send your message and recent chat history to the AI provider so the assistant can respond. Do not submit private contact details, addresses, medical information, or other sensitive personal data in chat. Visitor and security logs may include IP address, hashed IP keys, user agent, last visited path, referrer, visit counts, blocked-IP records, linked logged-in user identifiers, client error reports, timestamps, and rate-limit records. Visitor IP records are configured for 90-day retention. Uploads may include animal photos and related file metadata stored in Firebase/Google Cloud Storage. Pet videos are uploaded to the official ADOPT.GE YouTube channel through YouTube API Services. For video uploads, ADOPT.GE may process the video file, pet name used as the YouTube title, generated description, original filename, upload status, review status, YouTube video ID, YouTube watch/embed URLs, uploader account, owner account, pet ID, animal type, file type, file size, and timestamps. Donations are handled by Donorbox or the relevant donation provider; do not enter payment card details directly into ADOPT.GE forms. How we use data We use personal data to review rescuer and foster applications, create and manage accounts, publish and moderate animal profiles, upload submitted pet videos to YouTube, review videos before public display, change approved YouTube videos from private to unlisted, embed approved videos on pet profiles, hide or delete videos when needed, show contact information where appropriate, respond to messages, send operational emails and Telegram notifications to the team, prevent spam and scraping, block abusive traffic, maintain security, debug errors, improve the website, and comply with legal obligations. Who receives data We may share data with service providers that help run the website, including Firebase and Google Cloud, Firebase Authentication, Firebase App Check and reCAPTCHA, YouTube API Services and YouTube for pet video hosting and playback, Google Maps and Places, Google AI/Genkit providers for public chat, email/SMTP providers, Telegram notification services, Donorbox for donations, Google Analytics, and Meta Pixel where you consent to optional analytics or marketing cookies. These providers may process data outside Georgia, subject to their own terms and safeguards. YouTube and Google may process video-related data under the Google Privacy Policy at https://policies.google.com/privacy and YouTube Terms at https://www.youtube.com/t/terms. Retention We keep data only as long as needed for the purposes described in this notice, unless a longer period is required or permitted by law. Application records are kept while they are pending, active, needed for moderation, or needed to handle disputes. Account and pet-listing data are kept while the account or listing is active and for a reasonable period afterward for security, audit, and abuse-prevention purposes. Pet videos may remain on the official ADOPT.GE YouTube channel while the related pet profile is active or useful for animal-welfare purposes, unless hidden or deleted by an administrator or moderator. Visitor IP records are configured for 90-day retention. Rate-limit, security, and error records are kept only as long as needed for security and debugging. Your rights Under Georgian personal data law, you may request information about whether your data is processed, access or receive a copy of your data, correct or update inaccurate data, request termination of processing, erasure or destruction of data, request blocking of data, withdraw consent where processing is based on consent, and appeal a refusal or violation to the State Audit Office of Georgia, a court, or another competent body where applicable. Important limits Some requests may be limited where Georgian law permits it, for example when data is needed for security, abuse prevention, legal claims, public safety, or protection of the rights of others. Withdrawing consent does not affect processing already carried out before withdrawal and does not require deletion where another legal basis applies. Google and YouTube controls ADOPT.GE uses YouTube API Services for pet video upload, hosting, privacy-status updates, playback embedding, and deletion. If you have authorized a Google account connection to ADOPT.GE, you can revoke that access from Google's security permissions page at https://security.google.com/settings/security/permissions. Children and sensitive data ADOPT.GE is not designed to collect children's personal data. Do not submit names, exact details, photos, health information, or other personal data about children unless it is strictly necessary and you have legal authority to provide it. Do not submit special-category or sensitive personal data unless the form clearly asks for it and it is necessary for the animal adoption or foster purpose.
